Before you begin
Owners, Admins, and Editors can import content. Every imported article starts as a private draft, so an import never publishes customer content automatically. Choose or create an active knowledgebase before you start; a category is optional.
What you can import
Add any number of files in one selection. Beetl does not impose an arbitrary size limit on interactive document imports, although the browser, network, and hosting service must still be able to transfer the upload.
Supported document formats are PDF, Word DOCX, PowerPoint PPTX, Excel XLSX, HTML or HTM, Markdown, and plain text.
Supported image formats are JPG or JPEG, PNG, and WEBP.
Generic CSV, Confluence CSV exports, and Helpjuice CSV exports can create several draft articles from one file.
ZIP archives can contain supported documents and preserve their folder structure.
Import documents step by step
Open Content Manager and select Import documents, or use the upload icon in the sticky workspace header.
Drop files into the importer, browse for files, choose a folder, or select a ZIP export.
Read any rejection message. Supported files remain available even when another selected file is rejected.
In Review files, exclude anything you do not want and edit the proposed title for each ordinary document.
Choose the destination knowledgebase.
Choose a category when useful, or leave Category at Knowledgebase root. A workspace with no categories can import directly to the knowledgebase.
For CSV, choose Generic CSV, Confluence export, or Helpjuice export and use the downloadable template when needed.
Select Import drafts, keep the page open until processing finishes, and review the result shown for every file.
How folders and ZIP archives work
A selected folder becomes a category. Nested folders become nested categories beneath the destination category, or at the knowledgebase root when no category was selected.
Folder paths inside a ZIP archive are handled in the same way.
Only supported documents inside a ZIP are imported. Unsupported entries and nested ZIP files are skipped and reported as a warning; placing an unsupported file in a ZIP does not convert it.
ZIP archives must not be encrypted and may not contain symbolic links or unsafe paths.
For upload safety, a ZIP may contain up to 10,000 entries, up to 250 MB in one unpacked entry, up to 1 GB of unpacked data in total, and a maximum compression ratio of 200 to 1.
How titles are chosen
Beetl proposes a readable title from the document title or filename and removes common date or year clutter, so a name such as 2026 what's new 15/06 becomes What's new.
Check every proposed title in Review files and edit it before importing when the automatic suggestion is not right.
ZIP entry titles come from the documents inside the archive. CSV article titles come from the title column in each row.
A standalone bold line such as **Note** is treated as a possible heading only when its surrounding structure supports that interpretation; Beetl does not force every bold line into a heading.
CSV rules
The CSV must contain title and content columns. Accepted alternatives include name for title and body or article for content.
Optional columns are slug or URL, summary or description, tags or keywords, and category or category_name.
Separate tags with a semicolon or vertical bar.
A category value uses an existing category with the same name or slug. If it cannot be matched, Beetl uses the selected default category when one exists, or imports the draft at the knowledgebase root.
An article slug that already exists in the destination knowledgebase stops that CSV import so existing content is not overwritten.
Why Beetl can reject a file
The file is empty, has no extension, or uses an unsupported or executable format.
The extension and file type do not match, the document is damaged, or the conversion service cannot read its contents.
A ZIP is encrypted, corrupt, unsafe, contains no supported documents, or exceeds an archive safety rule.
The hosting service could not accept the upload in one request, or the network connection was interrupted.
The selected knowledgebase is inactive, the category belongs to another knowledgebase, or your role does not have import permission.
After the import
Successful drafts are kept even if another file fails. Open each draft in Content Manager, check the title, headings, images, links, category, and formatting, then publish only after the article is accurate and safe for its intended Readers.
