Before you begin
Owner or Admin. Decide which people should see each knowledgebase. A group is an organisational tool; access also depends on the content’s audience settings.
1. Create and populate a group
Open Settings → People and access and choose Create group.
Enter a clear team name, such as Operations, then save the group.
Open the Groups tab and select the group. Add the relevant workspace members.
Alternatively, open a person’s details, add group memberships, and save changes.
2. Check the content audience
Open the relevant knowledgebase or content access settings and review its audience.
Choose the intended groups where group-based access is offered. Do not assume group membership alone grants every knowledgebase.
Test with a Reader who belongs to the intended group and a Reader who does not. Check both the page and search results.
3. Maintain groups
Open a group to remove or add members as responsibilities change.
Before archiving a group, remove its knowledge-audience grants and resolve active assignment dependencies. Follow any blocker shown by Beetl.
Check your result
People are organised into clear groups, and a Reader access check confirms the intended audience.
If something goes wrong
Cannot archive: inspect active knowledge grants and assignments.
Unexpected access: review the knowledgebase’s visibility and all access grants, including grants outside this group.
