Before you begin
Access to the intended Reader Portal. Sign in when your organisation’s knowledge is private. AI answers depend on your workspace’s enabled features and available published sources.
1. Search with the right scope
Open Reader search and enter the task, a distinctive phrase, or a known article title. Start with a short specific query.
Check the selected knowledgebase, category, and article-type filters. Clear unnecessary filters and search again before deciding the answer is missing.
Open a result and check that it addresses your task and audience. Results are sorted by relevance; the first result is not a guarantee that it is the complete answer.
2. Verify an Assistant answer
When the Knowledge Assistant is available, ask one concrete question and include only context you are authorised to share.
Open the cited source articles. Confirm that their instructions support the answer and apply to your situation.
If Beetl cannot find enough evidence or the sources do not answer your question, ask the content owner for help. Do not treat a fluent answer as proof that a fact is in the knowledgebase.
3. Diagnose and report the gap
If a known article is absent, try its title and direct Reader link. Ask an author to check publication and your permitted access if the link is unavailable.
If the article opens but the guidance is unclear, use the article’s helpfulness or comment controls to describe what was missing.
Give your Admin the workspace, query, filters, relevant article link, and expected answer. Exclude secrets and private learner evidence from feedback.
Authors should verify the published snapshot, title, summary, category, and indexing status. After correction, repeat the same query as the intended Reader.
Check your result
You can distinguish a filter or access problem from a content gap and provide enough context for the owner to fix it.
If something goes wrong
No results: shorten the query, check spelling, clear filters, and confirm the right workspace before reporting missing content.
Authors can find it but Readers cannot: authors may see working drafts. Check the actual published version and Reader access.
Newly published content is not found immediately: allow indexing to run and ask an Admin to investigate persistent indexing failures. Do not republish repeatedly.
AI is unavailable or has no supported answer: use search and published guidance directly, and ask the content owner to address the evidence gap.
