Before you begin
Editor, Admin, or Owner. Decide exactly what the person is signing and which knowledgebase owns the tool. For formal learner completion, add the published tool to an assigned Guided Journey. Supported embedded article tools can collect separate optional responses; direct standalone pages are unsaved previews.
1. Describe the sign-off
Open Learning Studio and choose Signature.
In Sign-off details, enter the Form name and Description, select the Knowledgebase, and write instructions that clearly state what is being signed.
Continue to Signer details and check the signer name and email fields.
2. Choose how people sign
Continue to Signature settings.
Choose Let the signer choose, Draw by hand, or Generate from typed name.
Review the available response and confirmation settings, including any identity or consent requirements.
3. Place, publish, and test
In Placement, choose Standalone link, Guided journey, or Article and select the intended destination. Review the settings and choose Save signature draft.
Open the draft in Learning library, review it, and publish it.
For a journey, open Build → Add article or activity, select the published signature, and check its Required setting and position.
For an article, use Insert learning tool in the editor to add the published signature reference. Publish the article after checking its preview.
For formal learner evidence, complete the signature through a signed-in assigned journey and check any required reviewer approval. A supported typed signature embedded in an eligible public article can collect a separate response with identity and explicit signature consent. It does not verify email ownership or complete a journey. Draw-only signatures are not supported by the public article response UI.
Check your result
Assigned learners can submit a sign-off for review. Eligible article-embedded typed signatures collect separate article responses with identity and consent; standalone links are unsaved previews.
If something goes wrong
Tool missing from a journey picker: publish it first and check that it belongs to the same knowledgebase.
Saving a draft does not publish the tool or the containing article/journey. Check each publication state separately.
A signature records the configured sign-off. Define your organisation’s acceptance requirements before using it for a formal process.
