Before you begin
Owner, Admin or Editor with access to the source knowledgebase. Have a published source article and a clear learning objective. AI drafting also needs workspace AI permission and a configured provider; manual questions do not require AI.
1. Open Assessment tools and create a bank item
Open Learning Studio → Learning library → Assessment tools. Choose Question bank in the assessment workspace.
Choose Knowledgebase and enter Title, Prompt or statement, and Learning objective. Set the Response type and Difficulty. For choice questions, put one Answer choice per line and copy the exact correct choice text into Correct answer; for multiple correct answers, use one per line.
Choose the Exact published source, including its version. Open Add guidance for reviewers when you need a rationale or source-reference detail, then choose Save draft item. Keep the question focused on what the cited source actually supports.
Use Submit for review for the draft item, then review and publish it from Approval queue. A saved draft is not available as a published reusable question. Readers cannot manage this workspace.
2. Draft with AI only when it is available
Choose Draft with AI. Select the Exact source and enter a specific Learning objective. Expand Adjust draft settings to choose difficulty and the number of questions, from 1 to 10.
Review the source before choosing Generate drafts: its published text is sent to the configured AI provider for this feature. Use only content approved for that processing. A local workspace address does not make the external model run locally.
Treat the returned questions as drafts. Check the prompt, options, correct answer, rationale, source version, warnings and limitations. Correct unsupported, ambiguous or misleading questions before human review and publication.
If AI is disabled or the provider is unavailable, create manual items in Question bank. Generated drafts do not publish themselves, grade learners or establish that someone is competent.
3. Assemble and test an assessment
Choose Assemble a quiz in Assessment tools, name the assessment and select the published bank questions you need. Only published items in the chosen knowledgebase are eligible; a draft can be saved before all questions are ready.
Expand Add a description and configure quiz rules to review pass percentage, attempts, cooldown, ordering and feedback. Save the assessment draft, check its questions and publish when ready.
Choose the intended Article or Journey placement separately. A published question or assessment does not by itself assign learning. Test a passing and failing attempt in the intended context, including manual review when the question type needs it.
If the source article changes, revisit the pinned source version and the question. Existing published versions and learner evidence do not silently rewrite themselves.
Check your result
Reusable questions have a checked source and publication state; the assessment contains the intended published items and its delivery context has been tested.
If something goes wrong
No reusable questions: check item publication and knowledgebase. Saving a draft item is not the same as publishing it after review.
AI processing disabled: ask an Owner or Admin to review Security and privacy settings. If the provider is not configured or fails, use manual drafting and give support the visible error without credentials.
Source missing or changed: choose an accessible published version and reassess the question against that exact text.
Assessment saves but cannot be used: add eligible published questions, publish the assessment and configure its intended placement. A standalone preview does not prove assignment completion.
