Before you begin
Owner or Admin for Settings → Import and export. Article export operations also require an authorised authoring role. Decide the audience for the files and whether an offline text export meets the need.
1. Select the articles
Open Settings → Import and export and choose Export.
Use Find articles to export to filter the recently updated articles offered in the list. Select the required articles and check the selected count.
If the article is not in that list, use Find more articles in Content Manager to locate it and inspect its available export actions. The Settings list is not the entire library.
Export in batches of no more than 50 articles. Check each selection carefully before creating a file that will leave the Reader’s access controls.
2. Choose a format and download
Under File format, choose Word documents for editable DOCX files, PDF documents for a fixed-layout copy, or HTML files for web-ready article text.
Choose Download ZIP. Save the archive in an approved location and open it to inspect the exported files.
Treat the export as an article text document, not a full-fidelity backup. Images, interactive learning, response records, and editable-image state are not preserved as functioning features in this export.
If unpublished edits matter, compare the export with the intended article version before relying on it. Do not assume the file is a live Reader snapshot or contains every pending working-draft change.
3. Check before sharing
Open representative files and check title, text, headings, and any content that needs manual explanation after export.
Verify that recipients may receive every included article. An exported file does not enforce the Reader’s membership or group checks.
Use a Reader link instead when recipients need current interactive content or controlled ongoing access. Keep exported copies according to your organisation’s retention rules.
Check your result
The downloaded ZIP contains the intended article text files in the chosen format, checked for version and audience.
If something goes wrong
Download is unavailable: select an article and check your role.
An article is missing from the selection list: the Settings panel offers recently updated articles; use Content Manager to find more.
Media or learning is missing from the document: the export converts article text and is not a complete interactive backup.
