Before you begin
Editor, Admin, or Owner. Have a destination knowledgebase and a clear reader outcome.
1. Start a focused draft
Open Content Manager. Use New and choose Article to open the editor.
Enter a specific title and description. Open Article properties to choose the knowledgebase, category, owner, tags, visibility, and review settings.
Add a short summary explaining what the reader will accomplish. Write the prerequisites before the instructions.
2. Write and illustrate the steps
Use headings to split the task into stages and a numbered list for actions.
Use the insert controls or the command menu to add images, tables, callouts, links, or learning tools.
For each screenshot, add descriptive alternative text and a caption explaining what the reader should notice. Keep credentials and personal data out of images.
Open Article properties → Article to check owner, tags, audience, and review settings. These values stay with the draft while you use Actions, SEO, or Files.
3. Preview and publish
Preview the article. Read it as a new customer and check links, image legibility, headings, and mobile layout.
Choose Publish when it is ready. One click saves pending edits and publishes. Owners, Admins, and Editors can publish immediately, including articles written by another author in the workspace.
For an additional editorial check, send a saved draft to a reviewer. This is optional and does not remove your publishing access.
Open the published Reader article with the intended access. Search for it using a customer’s likely wording.
4. Update or retire an article
Edit published content as a separate working draft. Readers keep the current published content, title, location, and URL until you republish.
Use Article properties → Actions for Revision history, Duplicate article, Archive, or Delete. Duplicate creates a separate draft with its own media.
Unpublish removes Reader access and returns the article to Draft. Delete moves it to Content Manager → Recently deleted for 30 days; Restore returns it to Draft. Archive is a separate choice.
Check your result
The article is published, readable, correctly categorised, and available to its intended audience.
