Before you begin
Editor, Admin, or Owner. Create and publish a reusable tool in the same knowledgebase as the article. Decide whether you need an optional article response or formal completion through an assigned Guided Journey.
1. Place the published tool
Create the form, acknowledgement, signature, or assessment in Learning Studio. Choose appropriate fields and response settings, then publish the tool version.
For a scored assessment, configure Article placement and select the article. A learning-tool reference alone does not configure assessment placement.
Open the article editor and choose Insert learning tool from its command menu. Search for the published tool, insert it where it is useful, and explain what the reader should submit.
Preview and publish the article. Test from the live Reader article rather than the standalone tool page, which is an unsaved preview.
2. Check identity and response limits
For a signed-in response, inspect the offered identity choice. Ordinary forms can offer Stay anonymous when enabled; do not assume every tool permits it.
Eligible public articles can accept supported responses without an account. Entered names and emails are self-declared; they do not verify email ownership or create a learner enrolment.
Acknowledgements require identity and explicit acknowledgement consent. Typed signatures require identity, a signature, and separate signature consent.
Public article responses do not support forms with file-upload fields or draw-only signatures. Use a signed-in assigned journey when those requirements or formal learner completion are needed.
Keep private information out of test submissions. Use fictional details for a pilot and confirm the message shown after submission.
3. Review the submitted record
Open Learning Studio → Responses → Article submissions. Choose the article to inspect its submitted responses.
Open the relevant submission and check the tool, outcome, submitted time, recorded identity, and answers.
Use Download CSV when an authorised export is needed, and handle the file according to your organisation’s data rules.
Use Assigned learning review for evidence from assigned learning. Article responses, Guided Journey progress, and SCORM records are separate; one does not automatically complete the others.
Check your result
The intended article interaction saves a separate response, and authorised authors can locate the record.
If something goes wrong
No saved record: confirm the article and tool are published and the test used the live article, not a standalone preview.
A response is anonymous: check the identity option selected; do not treat an entered email as verified identity.
Journey completion has not changed: inspect the assigned learner activity rather than expecting an optional article response to complete it.
