Before you begin
Owner, Admin, or Editor with the required Knowledge Intelligence capability and workspace AI enabled. An Owner or Admin records approval decisions. Use approved published source articles and a subject expert for factual review.
1. Define the improvement request
Open Improvement requests from Knowledge Intelligence’s More menu. Choose the Knowledgebase, Improvement type, Request origin, and Content template.
Use Manual editor request unless an accepted recommendation, journey gap, or behaviour gap actually started the work. Select the corresponding evidence when that origin is used.
Expand Add context and approved sources. Choose the appropriate source snapshots and target article where required. In Set drafting preferences, explain the topic, audience, intended outcome, required facts, and excluded content.
Create the request after checking its scope. Do not include credentials, unsupported claims, or instructions you would not approve for the intended audience.
2. Generate and inspect the proposal
Open the request and check its approved source snapshots. If the request is ready, choose Generate proposal drafts and wait for processing.
Read the generated draft, source mapping, changes, and warnings. Check facts, missing prerequisites, audience, access, links, and any claim unsupported by the approved sources.
Open linked proposal articles in the editor and make necessary corrections. Generated articles are ordinary unpublished drafts; generation does not replace the source article.
If sources changed or clarification is needed, resolve that issue and generate a new proposal when appropriate instead of publishing an outdated result.
3. Record the decision and publish deliberately
Have an Owner or Admin record the Editorial decision with a useful Review comment. Request changes or reject a proposal that is not ready.
Approval for the existing publication workflow does not publish an article. Open each intended proposal draft, verify metadata and Reader access, and use its normal Publish action.
If the project offers Publication confirmation after approval, choose Confirm existing-workflow publication only after the linked drafts are published.
Check the Reader result and revisit the original signal or recommendation. The improvement project does not automatically merge, redirect, archive, or delete source articles.
Check your result
The reviewed proposal is published through the article workflow, with an explicit editorial decision and preserved source material.
If something goes wrong
Generation is unavailable: check plan capability, workspace AI controls, request readiness, and provider availability with your Admin.
Request needs source clarification: add suitable approved sources or narrow the requested outcome; do not invent facts to bypass the warning.
Proposal is stale: compare the current published sources and refresh the request before relying on the generated text.
Approval did not change the Reader article: approval and publication are separate. Check which proposal article was published and what should happen to the original.
