Before you begin
An authoring role to prepare the journey; an Owner or Admin for the publication decisions available to them. Identify existing rollouts before changing the published journey.
1. Inspect the current revision
Open Learning Studio and select the journey from the library. Note its published state, current revision and existing delivery/results records.
Open its working content and inspect the selected articles and learning tools. A changed source article or tool may have a newer version than the one used by the journey.
Choose source versions deliberately and review required steps, prerequisites and completion rules together. Do not assume editing a source silently updates every existing assignment.
2. Check and approve the revision
Preview the revised learner sequence and verify access to every required source and tool. Check the readiness messages and resolve missing or unavailable items.
Follow the journey approval workflow again when the changed revision requires it. Journey approval is separate from optional article review.
An authorised publisher releases the ready revision. Confirm the current published revision after release; saving a journey draft alone does not release it.
3. Check existing and future assignments
Open Delivery or Results and inspect a representative learner’s assignment and its revision. Existing enrolments remain tied to their assigned published revision.
Plan new assignments against the intended published revision. Do not promise that republishing moves existing evidence or silently replaces a learner’s assigned content.
If an active learner must move to the current published revision, open their administrative actions, enter the Version migration reason and review Move to revision. This is an explicit migration, subject to learner state and source-access checks; review the retained history and resulting progress afterwards. Completed, exempt and cancelled assignments are not eligible for that action.
Tell affected learners what changed and which assignment to use through your normal communication process. Preserve historical evidence and avoid duplicate rollouts unless they are deliberate.
Check your result
The intended journey revision is published and you know which revision existing and new assignments use.
If something goes wrong
A source update is missing: inspect the selected source version and the journey working revision, then repeat readiness and approval as needed.
Existing learner still sees an older revision: check the enrolment’s pinned revision rather than assuming publication migrates it.
Publication unavailable: read readiness and approval messages and confirm your role; article publication permissions do not bypass journey approval.
