Before you begin
Owner, Admin, or Editor with access to the article and intended destination. Identify any Reader links and journey references before changing a published article’s location.
1. Choose the right operation
Use a category change to reorganise an article inside its knowledgebase. Use a knowledgebase move when its intended audience or collection changes.
Use duplication when you need an independent starting point and want the source article to remain available.
Inspect the current live article and pending working draft before starting. Metadata edits to published content remain in the working copy until republishing.
2. Move and check the destination
In Content Manager, open the article’s actions and choose Move to… where available. Choose the intended destination and read the confirmation.
For a category change, select the new category in Article properties → Article. For a knowledgebase move, choose an active knowledgebase you can access.
A knowledgebase move clears the old category. Choose a valid destination category, check inherited visibility, ownership, tags, and review settings.
For a published source, the location change is staged in its working draft; Readers retain the current live location until republishing. Check the destination and publish when ready, then verify the actual Reader address and important links.
3. Verify an independent duplicate
Choose Duplicate as draft or Duplicate article from the available article actions. Open the newly created copy rather than continuing to edit the source.
Give the copy a distinct title and check its slug, knowledgebase, category, ownership, tags, and audience.
Preview images, attachments, embedded learning references, and SCORM content. Media copies belong to the duplicate; embedded learning tools still need their own placement and result checks.
Publish the copy only after it is correct. Check both Reader articles if the source should remain available. Do not delete the source merely to test that the copy is independent.
Check your result
The moved article is published in the intended location, or the duplicate is a separately reviewed draft or publication with working media and access.
If something goes wrong
Destination rejected: confirm it is active, in the same workspace, within your access, and different from the current knowledgebase.
Slug conflict: choose a unique slug before moving into a knowledgebase that already contains that address.
Article is in optional review: return the working draft to Draft if the move requires it. That is separate from Unpublish.
Copying media fails: keep the source, report the error, and retry only after the problem is resolved. Do not make private assets public to repair a preview.
